HR & Legal Officer

Role Summary

Dual role reporting to both the HR Director & the Legal & Compliance Director

The main responsibility of the Human Resources & Legal Officer is to provide administrative, operational, and compliance support to both the Human Resources and Legal departments of the organization. The role is responsible for assisting with employee administration, recruitment coordination, document management, legal documentation, compliance monitoring, and maintaining accurate personnel and legal records. 

Job Responsibilities

HUMAN RESOURCES

Employee Administration

Maintain and update HR records and databases, including attendance, leave, probation periods, contract renewals, and other employee information.

Support the preparation of employment-related documents, including offer letters, employment contracts, and other HR correspondence.

Recruitment & Onboarding

Coordinate recruitment activities, including interview scheduling, candidate communication, and recruitment administration.

Coordinate onboarding and induction activities for new employees.

Payroll & Benefits Administration

Assist with the preparation of payroll-related information and ensure employee data and benefit updates are accurately maintained.

Employee Relations

Provide first-line support and guidance to managers and employees on routine employee relations matters.

Resolve basic employee relations issues and refer complex matters or cases requiring investigation to senior colleagues.

HR Compliance

Ensure employee records and HR processes comply with company policies, procedures, and applicable labour law requirements.

Support the maintenance of accurate documentation required for HR compliance and internal reviews.

LEGAL & COMPLIANCE

Legal Administration & Document Management

Provide administrative support to the Legal department by preparing, organizing, filing, and archiving legal documents.

Maintain contracts, agreements, legal correspondence, permits, licences, and other regulatory documents in an accurate and orderly manner.

Contracts & Legal Documentation

Assist with the preparation, administrative review, and follow-up of contracts, agreements, and other legal documents.

Track contractual deadlines, renewals, approvals, and required signatures in coordination with relevant stakeholders.

Compliance

Support compliance with internal policies, company procedures, and applicable legal and regulatory requirements.

Follow up on compliance actions and assist in gathering documentation required for internal controls, audits, and compliance reviews.

Legal & Regulatory Monitoring

Monitor legislative and regulatory developments that may affect the company’s operations.

Support the Legal & Compliance Director in communicating and implementing new legal and regulatory requirements across the organization.

Permits, Licences & Regulatory Requirements

Track licences, permits, approvals, authorizations, and other regulatory requirements necessary for the company’s operations.

Monitor renewal deadlines and coordinate the collection of required supporting documentation.

Legal Case Support

Support the management and follow-up of legal, litigation, and pre-litigation matters under the supervision of the Legal & Compliance Director.

Prepare and organize information and documentation required for external legal counsel, public authorities, and other relevant stakeholders.

Legal Records Management

Maintain complete, accurate, and up-to-date legal files and registers in line with internal and regulatory requirements.

Ensure the confidentiality and secure handling of sensitive legal information and documentation.
