Payroll Specialist
HR operations in Gdańsk and is looking for a skilled and proactive Payroll & HR Professional to support comprehensive HR administration, collaborate with external payroll providers, and ensure smooth and compliant HR processes across the organization.

About the Role
As a Payroll & HR Professional, you will be responsible for managing employee documentation, preparing payroll input data, supporting the time & attendance process, and ensuring HR operations comply with Polish labor law and internal policies.
Working closely with an external payroll provider, managers, employees, and HR systems suppliers, you will help maintain smooth payroll operations and contribute to HR projects within the People & Culture department.
What You’ll Do
HR & Payroll Administration:
- Collaborate with an external payroll service provider
- Manage and maintain employee personnel files; enter and update HR/ payroll data in the internal system
- Prepare payroll input and verify the correctness of payroll calculations
- Prepare payroll posting files for Finance
Time & Attendance Support:
- Monitor and verify working time records
- Support managers in monthly time & attendance processing
- Provide employee support in using the employee self-service portal and coordinate updates with system providers
Documentation & Compliance:
- Prepare employment-related documents: employment contracts, amendments, termination documents, and employment certificates in accordance with the Polish Labor Code
- Manage records of mandatory medical examinations and health & safety training; collaborate with external providers
- Maintain records of employee benefits and coordinate with benefit suppliers
HR Projects:
- Participate in internal People & Culture initiatives and improvement projects
- Recommend process improvements within HR and payroll operations
What You Bring
Experience & Expertise:
- Minimum 4 years of experience in HR administration
- Practical knowledge of labor law, social security regulations (ZUS), PFRON rules, and regulations related to employing foreigners
- Experience working with HR/ payroll systems (SAP SuccessFactors/ SAP MySuccess is an advantage)
- Experience in payroll processes is a plus

- Excellent communication skills with the ability to provide clear, factual information
- High level of initiative, problem-solving skills, and ownership
- Strong organizational skills and ability to prioritize tasks effectively

- Good command of MS Office (Outlook, Word, PowerPoint, Excel)
- Communicative English skills – ability to work comfortably in an international environment
