Assure the efficient operation of an office or department, supervising administrative and secretarial employees, through coordination of a wide range of services. Prepare work schedules, ensure critical function coverage (e.g. reception, telephones, mail), recruit temporary and permanent employees for admin/secretarial positions, and maintain and manage office supplies and equipment. Provide orientation regarding office procedures and policies, monitor work performance, and process time sheets.

Job Responsibilities

Administration

Develop a range of administrative processes and provide administrative support and data processing to allow for the efficient running of the business.

Correspondence

Prepare more complex reports and agendas and minutes of meetings and tailored letters and emails for approval by a Chief Executive.

Business Meetings/Events Arrangement

Arrange venues, equipment, catering, accommodation, and travel for participants arriving from various locations to ensure the smooth running of complex large events.

Leadership and Direction

Communicate the local action plan; explain how this relates to the function's strategy and action plan, and the broader organization's mission and vision; motivate people to achieve local business goals.

Operations Management

Supervise others working within established operational systems.

Work Scheduling and Allocation

Develop short- or medium-term work schedules in order to achieve planned commitments. Approve overtime or use additional resources as needed.

Operational Compliance

Maintain and renew a deep knowledge and understanding of the organization's policies and procedures and of relevant regulatory codes and codes of conduct, and ensure own work adheres to required standards. OR Identify, within the team, patterns of non-compliance with the organization's policies and procedures, and with relevant regulatory codes and codes of conduct, taking appropriate action to report and resolve these and escalating issues as appropriate.

Procurement

Achieve specific procurement goals within area of responsibility. May also involve working to improve established procurement procedures.

Performance Management

Manage and report on the performance of a substantial, diverse team; set appropriate performance objectives for direct reports or project / account team members and hold them accountable for achieving these; take appropriate corrective action where necessary to ensure the achievement of team / personal objectives.

Budgeting

Deliver a budget for an area of the organization or conduct complex analyses on budget progress in other areas of the organization.

Organizational Capability Building

Use the organization's formal development framework to identify the team's individual development needs. Plan and implement actions to build their capabilities. Provide training or coaching to others throughout the organization in own area of expertise to enable others to improve performance and fulfill personal potential.
