An international organization is launching a new Shared Services & Knowledge Center in Gdańsk, and looking for a detail-oriented and well-organized Transition Lead to support the smooth coordination of process transitions at the local level.

About the Role:

As a Transition Lead, you will play a key role in coordinating local transition activities – scheduling meetings, tracking documentation progress, and supporting communication between teams. You’ll be the go-to person locally for follow-ups, action items, and updates, ensuring that everything stays on track for a successful knowledge and process transfer.

What You'll Do:

Coordinate Transition Activities Locally

  • Schedule and facilitate meetings, interviews, and workshops with local SMEs
  • Serve as a local point of contact for transition efforts

Track Progress of Documentation and Handover

  • Monitor status of documentation and readiness activities
  • Flag delays or risks and escalate as needed

Maintain and Update Project Tools

  • Keep trackers, timelines, and status reports updated
  • Share regular updates with the central transition team and Project Manager

Drive Follow-up on Action Items

  • Track open tasks and ensure they’re completed in a timely manner
  • Remind and support team members in their responsibilities

Facilitate Communication

  • Ensure consistent information flow between local and central teams
  • Help clarify questions from documentation teams or trainers via local SMEs

Support Quality and Readiness Reviews

  • Help prepare for documentation reviews and process validation
  • Assist in ensuring teams are ready for final handovers

What You Bring:
Organizational & Time Management

  • Skilled at juggling multiple tasks, deadlines, and meetings
  • Confident using trackers, timelines, and follow-up tools

Communication & Coordination

  • Clear verbal and written communication skills
  • Comfortable facilitating meetings and engaging with local experts and global teams

Attention to Detail

  • Proactive in spotting delays, missing data, or inconsistencies
  • Focused on accuracy and follow-through

Collaboration & Team Support

  • Friendly, team-first approach with flexibility to jump in where needed
  • Works well in matrix teams across functions or locations

Digital Tool Proficiency

  • Proficient in Excel, PowerPoint, Word, Teams, SharePoint, Confluence
  • Familiarity with project dashboards and collaboration platforms is a plus

Your Background:

  • 3-5 years of experience in coordination, administration, project support, or business operations
  • Experience in a cross-functional or regional environment preferred
  • Background in supporting documentation tracking, transitions, or workshops is an asset
  • Strong self-management and ability to work independently within a team
  • Experience in matrix or non-hierarchical structures is a plus
