Assistant to Domain Head Conventional Engine
Are you a proactive, highly organized individual who thrives in a dynamic and fast-paced environment? We are seeking an Assistant to join our team and play an important role in managing our Department management administrative activities. In this role, you’ll be working closely with the Department head and also the leadership team to ensure that everything runs smoothly behind the scenes.
As an Assistant, you will have the opportunity to take ownership of a variety of responsibilities that go beyond the typical administrative duties. From managing complex schedules to supporting business operations, your contributions will directly impact our team’s efficiency and success.
You like to find new ways to work with new technology, are communicative with a good ability to express yourself in speech and writing in both Swedish and English, as we have many international employees.
In this role, you need to be able to collaborate, take initiative and make your own decisions. A high level of integrity and a professional attitude is a prerequisite for the assignment.
We would like you to have experience of assistant work. If previously worked as a department head assistant, this is an advantage.
What You’ll Do:
- Support Leadership: Manage senior executives' schedules, coordinate meetings, agendas, meeting minutes and handle travel arrangements, allowing them to focus on strategic and operational matters. Annual planning of Department activities like yearly conference and other regular events.
- Administrative Support: Organize and manage essential documents, meeting schedules, and correspondence to keep our Department running smoothly. Provide some administrative support for other functions connected to the Department.
- Correspondence & Documentation: Prepare professional correspondence, meeting materials, meeting minutes, ensuring accuracy and timely delivery.
- Collaboration: Coordinate the assistant team within the Department, making sure it is a unite team providing same level of support.
Who You Are
- You enjoy organizing and are great at managing your own schedule.
- Have excellent organisational skills and the ability to drive several activities in parallel.
- Have experience from working in a multinational / multi-layer organization.
- Are service minded and take pride in providing support in a professional way.
- You have a know how to handle confidential information with discretion.
- You have excellent written and verbal communication skills.
- Are a team player, but comfortable working and prioritising independently, as well as taking decisions.
- You enjoy learning and are eager to stay updated with the latest tools and best practices.
- Excellent skills in Microsoft Office (Word, PowerPoint, Outlook)
