Administration Executive

Role Summary

The main responsibility of the Administration Executive is to support Country Manager by organizing workload, preparing for meetings and organising Agenda engagements to optimize time. The role also supports and incorporates several other company administrative tasks, and tasks related but not limited to office and supplies management.

Job Responsibilities

Office administration activities 
Ensure that the administration of office is performed and delivered to set targets and deadlines    
•    Managing office supplies and equipment
•    Managing post and courier services
•    Business card and petrol card administration
•    Attending to incoming calls both internal and external 
•    Administrative support related to the company and authorities when needed such as MOM, Bizsafe , NEA and PUB 
•    Creation of Purchase orders
•    On Site audit coordination 
•    Arranging of 3rd party vendors for facilities management 
•    Sorting out suppliers invoices and payment and to coordinate with accounting team
•    Issuance of IT asset for staff
•    Other ad hoc tasks as they arise and in support of the management

Secretarial functions
Ensure that the secretarial functions of the Country Manager are performed and delivered to set targets and deadlines    
•    Carrying out usual secretarial duties for Country Managers, including calendar management, expense claims and expat services 
•    Timely responses to in and out going email from the dedicated emails and respond to queries from phone line and walk-in customers
•    Travel domestic & international travel arrangements for company staff and visitors as required
•    Ensure that appropriate arrangements are in place in the event of both planned and unplanned absences from work so that the key day to day duties are still carried out
•    Coordinate expat housing and aircon services
•    To Coordinate and Facilitate company events 

Health & Safety development
Coordinate and support Health & Safety development
•    Take part as representative in Safety Council
•    Support implementation of safety, health and environmental (SHE) policies, procedures and regulations in daily work
•    Create and safeguard a healthy, safe and sustainable work environment for all employees supporting business objectives
•    Support the work with continuous improvements regarding safety and health
•    Follow up on Servicing of Firehoses, Extinguishers and Exit warning light services. 
•    Updating of Notice Board MOVE TO OFFICE ADMIN ACTIVTIES
•    Coordinate Yearly electrical and government related licenses renewal.
